Please review this page before booking. It explains how LORD and Smith Travel, LLC works with you and with our travel Suppliers, how payments and cancellations are handled, and how we collect and use your information.
These Travel Services Terms & Conditions ("Terms") govern travel planning, booking, administrative, and related services provided by LORD and Smith Travel ("LORD and Smith Travel, LLC," "we," "us," or "our"). They apply to each traveler, booking party, and person making or authorizing a reservation.
By submitting a travel inquiry, requesting a quote, accepting a proposal, completing a Passenger Agreement, making a payment, authorizing a charge, or booking travel through LORD and Smith Travel, LLC, you acknowledge that you have had a reasonable opportunity to review these Terms and agree to be bound by the provisions applicable to your transaction. Supplier-specific terms may also apply and, where applicable, are incorporated into the booking.
If a separate written proposal, invoice, group contract, or supplier agreement contains terms that expressly conflict with these Terms, the more specific written terms for that transaction will control to the extent of the conflict.
LORD and Smith Travel, LLC acts as a travel advisor and intermediary unless expressly stated otherwise. LORD and Smith Travel, LLC may arrange services provided by independent third parties, including airlines, cruise lines, hotels, resorts, tour operators, transportation companies, activity providers, insurance companies, and destination service providers ("Suppliers").
Suppliers control their own schedules, availability, pricing, deposits, cancellation policies, refunds, baggage rules, accommodations, safety standards, and service delivery. LORD and Smith Travel, LLC does not own or operate most Supplier services and cannot guarantee Supplier performance.
All quotes are subject to availability and Supplier pricing until the reservation is confirmed and required payment is received. Taxes, resort or destination fees, baggage fees, fuel surcharges, gratuities, transportation charges, Supplier fees, and LORD and Smith Travel, LLC service fees may apply.
Unless a proposal expressly states otherwise, quoted package prices are based on double occupancy. Airfare and other inventory may fluctuate at any time.
If a typographical, system, Supplier, or human error results in an incorrect price or service description, LORD and Smith Travel, LLC reserves the right to correct the error. If the corrected price is higher because of an error attributable to LORD and Smith Travel, LLC, the client may decline the increase and receive a refund of amounts paid to LORD and Smith Travel, LLC for the affected service, subject to any nonrecoverable third-party amounts that the client separately authorized or agreed to pay.
Reservations may be made by approved electronic payment methods, including Zelle or major credit card, when offered. A reservation is not secured until the required deposit or full payment has been received and the Supplier confirms the reservation.
Payment deadlines will be stated on the applicable invoice, proposal, booking confirmation, or group agreement. Missing a payment deadline may result in cancellation by LORD and Smith Travel, LLC or a Supplier, loss of inventory, and/or forfeiture of amounts paid.
When specifically offered for a trip, LORD and Smith Travel, LLC may provide a no-fee automatic payment plan. After the initial deposit, scheduled installments may be automatically charged to the payment method authorized by the client. The client is responsible for maintaining a valid payment method and sufficient available credit and for promptly notifying LORD and Smith Travel, LLC of any change.
A failed automatic payment may result in a $50 failed-payment/NSF administrative fee where permitted by law. The failed payment must be brought current within five (5) calendar days after notice to maintain the reservation, unless the applicable booking documents state otherwise.
Reservations may be paid in full at booking if space remains available. Unless a different deadline is stated in writing, an unpaid balance remaining after the stated Final Payment Due Date may incur a $100 late fee one day after the deadline. Supplier cancellation rules remain applicable regardless of any LORD and Smith Travel, LLC late fee.
For reservations made within sixty (60) days of departure, once the reservation is confirmed, final payment is generally due within twenty-four (24) hours unless the booking documents state otherwise. Applicable Supplier cancellation and penalty rules apply immediately.
Clients must provide each traveler's legal name exactly as it appears on the traveler's passport or other applicable travel document. Corrections or name changes caused by inaccurate information supplied by the client may be subject to a $250 per-person LORD and Smith Travel, LLC fee plus any Supplier charges. Airline tickets may require cancellation and rebooking and may be fully nonrefundable.
LORD and Smith Travel, LLC may charge planning, consultation, booking, administrative, change, cancellation, reinstatement, or other professional service fees. Applicable LORD and Smith Travel, LLC fees will be disclosed before or at the time they are charged whenever reasonably practicable. Unless otherwise stated in writing, fees paid directly to LORD and Smith Travel, LLC for services already performed are nonrefundable.
Unless a written booking agreement expressly provides otherwise, payments made to LORD and Smith Travel, LLC are nonrefundable and nontransferable because LORD and Smith Travel, LLC may commit funds to Suppliers under contracts that restrict refunds or transfers.
Cancellation requests must be submitted in writing to LORD and Smith Travel, LLC. A cancellation is effective only when LORD and Smith Travel, LLC confirms receipt. Supplier cancellation penalties, nonrefundable deposits, fare rules, and other applicable charges remain the client's responsibility.
If LORD and Smith Travel, LLC permits a canceled reservation to be reinstated within seven (7) days after cancellation, a $300 reinstatement fee may apply and must be paid before LORD and Smith Travel, LLC requests reconfirmation. Reinstatement is not guaranteed.
A canceled trip requested for rebooking after the seven-day reinstatement period may require payment of the entire current trip price plus a $300 rebooking fee, subject to availability and Supplier rules.
Requested changes are subject to availability and may result in Supplier change fees, fare or rate differences, rebooking charges, administrative fees, loss of promotional pricing, and/or loss of deposits. LORD and Smith Travel, LLC does not guarantee that a requested change can be made.
Travelers are solely responsible for obtaining and maintaining required passports, visas, permits, identification, consent letters, vaccinations, and other documents. Requirements can change without notice. Travelers should verify requirements directly with the applicable government authority, consulate, embassy, carrier, cruise line, and/or official travel advisory source.
For international travel, travelers should confirm passport validity and blank-page requirements for every destination and transit point. U.S. citizens should consult official U.S. government resources. Non-U.S. citizens must obtain requirements applicable to their citizenship and immigration status; LORD and Smith Travel, LLC does not guarantee the accuracy or completeness of entry requirements.
LORD and Smith Travel, LLC is not responsible for a traveler's inability to travel because required documentation was missing, expired, inaccurate, or insufficient.
Unless a specific trip states otherwise, travelers under eighteen (18) must be accompanied by an adult. Some group tours may impose a higher minimum age. A minor traveling with only one parent or with another adult may need a notarized parental consent letter and supporting documentation.
Travelers are responsible for evaluating whether an itinerary is appropriate for their individual health, mobility, and other needs and should consult a qualified healthcare professional when appropriate. LORD and Smith Travel, LLC does not provide medical advice.
Travelers requiring accessibility accommodations should notify LORD and Smith Travel, LLC before booking. LORD and Smith Travel, LLC will communicate reasonable requests to Suppliers when possible, but accessibility varies by destination and Supplier, and accommodations cannot always be guaranteed. Travelers who require personal assistance should travel with a qualified companion capable of providing that assistance unless the Supplier expressly provides otherwise.
Special requests—including dietary needs, room type, seating, celebrations, accessibility, and transportation—are requests only unless LORD and Smith Travel, LLC confirms them in writing as guaranteed. Supplier limitations may apply.
LORD and Smith Travel, LLC strongly recommends travel insurance when appropriate. Insurance is optional unless a specific Supplier, group contract, or applicable law requires it. Coverage, exclusions, deductibles, eligibility rules, and claim deadlines are controlled by the insurance policy, not LORD and Smith Travel, LLC. The traveler is responsible for reviewing the policy and purchasing coverage before applicable deadlines.
Airline schedules, routes, aircraft, seats, baggage policies, ticketing deadlines, and fares are controlled by the airline and may change without notice. LORD and Smith Travel, LLC will make reasonable efforts to communicate known schedule changes, but LORD and Smith Travel, LLC does not control airline decisions and is not responsible for airline delays, cancellations, seat changes, missed connections, or resulting expenses.
Once airline confirmation and ticket information are provided, travelers are responsible for monitoring flights, completing check-in, managing airline apps, purchasing baggage or upgrades, and complying with airline requirements. Seat requests are not guaranteed.
If a traveler changes a flight directly with an airline, the traveler must promptly notify LORD and Smith Travel, LLC in writing. LORD and Smith Travel, LLC is not responsible for land services or transfers affected by flight changes that were not communicated to LORD and Smith Travel, LLC.
Suppliers may change schedules, accommodations, routes, activities, transportation, or other arrangements. Disruptions may result from weather, mechanical problems, labor disputes, government action, natural disasters, public health events, security concerns, transportation interruptions, Supplier failures, or other events outside LORD and Smith Travel, LLC's reasonable control.
LORD and Smith Travel, LLC will use reasonable efforts to assist travelers, but LORD and Smith Travel, LLC does not guarantee a particular remedy, refund, replacement service, or compensation. Where a force majeure event occurs, the applicable Supplier policies, written trip terms, and these Terms will govern available remedies.
For LORD and Smith Travel, LLC-sponsored group travel, each traveler agrees to behave respectfully and follow reasonable instructions from LORD and Smith Travel, LLC, group leaders, Suppliers, and local authorities. LORD and Smith Travel, LLC may refuse participation or arrange removal of a traveler whose conduct is materially disruptive, unsafe, threatening, unlawful, or substantially interferes with the group experience.
Any resulting cancellation penalties, alternate transportation, lodging, medical expenses, or costs of returning home are the traveler's responsibility to the extent permitted by law. Unused services are not refundable unless a Supplier or applicable law requires otherwise.
LORD and Smith Travel, LLC is not responsible for losses caused by inaccurate, incomplete, or late information supplied by a client.
The LORD and Smith Travel, LLC website may contain links to third-party websites. LORD and Smith Travel, LLC does not control and is not responsible for third-party content, privacy practices, security, availability, pricing, or policies. Travelers should review third-party terms and privacy notices before submitting information or purchasing services.
Website content, including travel descriptions, prices, schedules, and destination information, is provided for general informational purposes and may change. Website content is not a guarantee of availability, price, or a particular travel arrangement.
To the maximum extent permitted by applicable law, LORD and Smith Travel, LLC is not liable for the acts, omissions, negligence, delays, cancellations, insolvency, failures, injuries, losses, damages, or service deficiencies of independent Suppliers or other third parties.
LORD and Smith Travel, LLC is not responsible for indirect, incidental, special, exemplary, punitive, or consequential damages to the extent such limitation is permitted by applicable law. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.
LORD and Smith Travel, LLC does not waive any rights or protections available under applicable law.
Clients agree to contact LORD and Smith Travel, LLC first regarding billing questions or disputes so LORD and Smith Travel, LLC has a reasonable opportunity to investigate and resolve the matter. A chargeback does not automatically cancel a reservation or eliminate amounts properly owed to LORD and Smith Travel, LLC or a Supplier.
LORD and Smith Travel, LLC may decline, suspend, or cancel transactions reasonably believed to be fraudulent, unauthorized, suspicious, or inconsistent with payment-processing requirements and may request additional verification.
LORD and Smith Travel, LLC's Privacy Policy below is incorporated into these Terms by reference. By using LORD and Smith Travel, LLC's website or services, you acknowledge the Privacy Policy and the collection and use of information as described there.
You consent to receiving booking confirmations, invoices, payment notices, travel documents, policy updates, and other transaction-related communications electronically, including by email, text message, client portal, or other electronic method you have provided or authorized. To the extent permitted by applicable law, electronic acknowledgments, checkboxes, signatures, and records may constitute your electronic signature and acceptance of these Terms.
IMPORTANT: The following provision affects legal rights and should be reviewed by Georgia counsel before use.
To the extent enforceable under applicable law, any dispute arising out of or relating to these Terms, a booking, LORD and Smith Travel, LLC services, or a trip shall be resolved by binding arbitration rather than a court trial, pursuant to the Federal Arbitration Act. The arbitration may be administered by the American Arbitration Association (AAA) or JAMS under the administrator's applicable rules, as selected in the applicable agreement or otherwise agreed by the parties.
The arbitration will be conducted in or near Atlanta, Georgia, unless the parties agree otherwise or applicable law requires another location. Georgia substantive law will apply to the extent permitted by law. The parties understand that agreeing to arbitration may waive the right to have a dispute decided by a judge or jury in court.
Nothing in this section prevents a party from seeking a remedy that applicable law requires to remain available in court or before a government agency. Any class, collective, or representative proceeding waiver should be separately reviewed by counsel for enforceability.
Except where federal law or another mandatory law controls, these Terms will be interpreted under the laws of the State of Georgia, without regard to conflict-of-law principles. If any provision is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.
LORD and Smith Travel, LLC may update these Terms from time to time. The version applicable to a booking will generally be the version presented or accepted at the time of the transaction, unless a later change is required by law, Supplier terms, or is expressly accepted by the client.

We may share information with Suppliers and service providers when necessary to provide requested travel services. We may also share information with payment processors, technology providers, professional advisers, government authorities, or other parties when reasonably necessary to provide services, comply with law, protect rights or safety, prevent fraud, or complete a business transaction.
LORD and Smith Travel, LLC does not sell personal information for monetary consideration. LORD and Smith Travel, LLC may use service providers that process information on our behalf. Third-party Suppliers have their own privacy policies and may process information under their own terms.
The website may use cookies, pixels, analytics tools, or similar technologies to operate the site, remember preferences, understand website usage, and support marketing or advertising functions. Available controls depend on the technologies and services used on the website. Users may be able to control certain cookies through browser or website settings.
Where required by law, LORD and Smith Travel, LLC will obtain appropriate consent before sending certain marketing communications. You may opt out of marketing emails by using the unsubscribe mechanism in the message or by contacting LORD and Smith Travel, LLC. Transactional and service-related communications may continue when necessary to manage your booking.
LORD and Smith Travel, LLC uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, and LORD and Smith Travel, LLC cannot guarantee absolute security.
LORD and Smith Travel, LLC retains information for as long as reasonably necessary for the purposes described in this Policy, including to complete transactions, maintain business and tax records, resolve disputes, enforce agreements, and comply with legal obligations.
Depending on where you live and whether a privacy law applies, you may have rights concerning access to, correction of, deletion of, portability of, or restriction of certain personal information, as well as rights concerning marketing or certain data uses. To make a privacy request, contact LORD and Smith Travel, LLC using the contact information below. LORD and Smith Travel, LLC may need to verify your identity before completing a request.
LORD and Smith Travel, LLC's website and services are not directed to children under 13. We do not knowingly collect personal information online from children under 13 without appropriate authorization. If you believe a child has provided personal information to us, please contact us.
When you follow a link to a third-party website or provide information directly to a Supplier, that party's privacy policy governs its processing of your information. LORD and Smith Travel, LLC is not responsible for the privacy or security practices of independent third parties.
LORD and Smith Travel, LLC may update this Privacy Policy from time to time. The revised version will be posted on the website with a revised "Last Updated" date. Material changes may be communicated through appropriate means when required.

I acknowledge that I have reviewed the Travel Services Terms & Conditions and Privacy Policy applicable to my booking. I understand that LORD and Smith Travel, LLC is generally acting as a travel advisor/intermediary and that independent Suppliers provide many of the travel services.
I understand that travel involves inherent risks, including illness, injury, weather, transportation disruptions, property loss, and risks associated with activities and destinations. I voluntarily choose to participate in the travel I book and agree to follow applicable laws, Supplier rules, and reasonable safety instructions.
To the extent permitted by applicable law, I agree to the liability limitations, dispute-resolution provisions, and other applicable terms in this Agreement. I understand that arbitration provisions may affect my right to pursue a dispute in court.
I authorize LORD and Smith Travel, LLC to communicate necessary traveler information to Suppliers and service providers for the purpose of arranging and administering my travel. I confirm that information I provide is accurate to the best of my knowledge.
If I book travel for another person or members of my traveling party, I represent that I have authority to provide their information and accept the applicable booking terms on their behalf to the extent permitted by law.
Photographs or video taken during an LORD and Smith Travel, LLC-sponsored trip may be used for promotional purposes only when permitted by applicable law and the traveler's applicable consent. Any mandatory consent should be obtained through a separate, clearly presented media-release checkbox or form rather than relying solely on this Agreement.
